Currency and payment methods

Two settings decide what money looks like across the whole app: the currency your prices are shown in, and the payment methods your shop actually accepts. Both live in Settings, and both are admin-only.

Set your currency

Settings → Currency holds one dropdown. Pick the currency your shop prices in and save.

Every screen follows it immediately — the register, the cart, receipts, the reports, the daily email, your online storefront. There is nothing else to change.

Two things are worth knowing before you switch it:

• It relabels your history too. Prices are stored as plain numbers, so changing the currency changes the symbol on last month's sales as well as today's. That is right if you picked the wrong currency on day one. It is wrong if you were hoping for a conversion.
• It does not convert anything. A 250 stays a 250. Only the symbol in front of it moves.

If your shop has been running for a while and the currency looks correct already, it is — accounts created before this setting existed keep the currency they have always used until you change it.

On printed receipts

Thermal printers and the PDF export cannot draw most currency symbols — a ₱, €, £, ฿ or ₹ comes out as a box or as garbage on cheap hardware. Kasenso handles this for you: a currency whose symbol is plain text prints the symbol, and every other currency prints its three-letter code instead.

So a shop on dollars sees $1,250.00 on the receipt, and a shop on pesos sees PHP1,250.00. On screen both still show the real symbol.

Choose your payment methods

Settings → POS Permissions → Payment methods holds your own list. A new shop starts with two rows — Cash and Card — and you add whatever else you take.

Each row has three controls:

• The name, which you can type over at any time.
• A switch, for whether the POS offers it right now.
• A bin, to remove it entirely.

Cash is fixed. Its name, switch and bin are all disabled, because a business that accepts nothing could not ring up a sale.

Adding your own

Type a name — Maya, BDO Pay, PromptPay, M-Pesa, Bank transfer, Gift card — and press Add. There are suggestion chips underneath for the common ones; tapping a chip adds it in one go.

The order of the list is the order the POS shows them in, so put your busiest method near the top. You can have up to twelve.

Renaming is safe. Removing is the careful one.

Behind each method is a fixed id, set once from the name you first gave it and never changed afterwards. That is what makes renaming harmless: change Bank to Bank transfer and every past sale is relabelled with it, because the underlying id never moved.

Removing a method is different. Sales already taken through it keep their id, so those sales still appear — see below.

Sales showing under a method you never added? If your shop took GCash before this list existed, those sales appear as a GCash row you cannot edit, because they carry an id with no row behind it. Add a method named exactly GCash (or tap the GCash chip) and it adopts them — old and new GCash sales then sit in one row you control. Switch it off afterwards if you no longer take it; the history stays.

Cash-only shops skip a step

If cash is the only method switched on, there is nothing to choose, so the POS stops asking. Tapping Charge goes straight to the amount-tendered screen and the change calculation — one fewer tap on every single sale.

Switch anything else on and the "Select Payment Method" step returns.

What reports do with a method you switch off or remove

A method you switch off disappears from the register straight away.

Reports are different, on purpose. If you took Maya payments last month and then switched Maya off — or deleted it — that money is still real, so the Maya row stays in any report covering a day it carried money, and is absent from the days it did not. A method you deleted keeps its name in those reports; if it was deleted before it ever had a name, the report falls back to a readable version of its id.

Without that rule your payment rows would stop adding up to your sales total, which is exactly the kind of gap that sends an owner hunting for a bug that isn't there.

Frequently asked questions

Does changing currency convert my prices?

No. It changes the symbol shown in front of every amount and nothing else. A menu item priced at 250 stays at 250. If you are genuinely moving countries, you need to reprice the menu yourself.

My reports still show the old currency on old sales. Is that a bug?

No — that is the same setting. There is one currency per business and it applies everywhere, past and present. Kasenso does not store a currency per sale.

Why can't I switch off or rename Cash?

Because the register would then have no way to take money at all, and because the drawer maths counts cash specifically. Every other method is yours to name, switch and remove.

I turned off a method but it's still in my reports.

That is deliberate, and only happens for days when it actually took money. Hiding a row that holds real revenue would stop your payment breakdown matching your sales total.

If I rename a method, what happens to old sales?

They follow the new name. The name is a label over a fixed id, and renaming only changes the label — so a method renamed from Bank to Bank transfer shows as Bank transfer everywhere, including last year's reports.

Can I add the same method twice?

No. Two rows with the same name would write the same id and the sales would merge anyway, so Kasenso stops you and says so.

Is there a limit?

Twelve methods per shop, including cash. Beyond that the checkout screen turns into a scrolling list, which is slower than the thing it is meant to speed up.

Can each staff member have a different currency?

No. Currency is a business setting, so the owner, every admin and every cashier all see the same one.

Where do I change the tax name?

That is separate — see Business settings, tax and service charge. Tax has its own name field because what it is called and what it is charged at are different questions from what currency it is charged in.
